Terms & Conditions

Last updated: 25 September 2026

These terms apply to every hire from First Class Hire & Events. Please read them before confirming your booking — paying a retainer means you accept them.

1.Definitions

  • “We”, “us” and “our” means First Class Hire & Events.
  • “You” or “the Hirer” means the person making the booking.
  • “Equipment” means all items hired from us.
  • “Event” means the occasion the Equipment is hired for.
  • “Booking” means a confirmed hire agreement.

2.Quotes & bookings

  • Quotes are valid for 14 days.
  • Dates are not reserved until the retainer is paid and the booking is confirmed in writing.
  • Prices may change until the booking is confirmed.

3.Retainers & payment

  • All bookings require a non-refundable retainer to secure the date. The retainer is not a deposit: it reserves the date exclusively for the Hirer and covers our commitment to turn away other bookings.
  • Payment terms depend on the total booking value, as shown in the table below.
Booking valueRetainer at bookingBalance due
Up to £50050%7 days before the event
£500.01 to £5,00020%1 month before the event
Over £5,00020%12 weeks before the event
  • If a booking is made after the balance due date would have passed, full payment is due at the time of booking.
  • If the balance is not paid by the due date, we may treat the booking as cancelled and the retainer will be kept.
  • Accepted payment methods: bank transfer or card.

4.Delivery, set-up & collection

  • Delivery is calculated based on the venue location and included in your quote.
  • The Hirer must confirm the full venue address, access times and any venue restrictions at the time of booking.
  • Clear, safe access must be provided. Stairs, lifts, parking restrictions and the distance from our vehicle to the set-up area must be told to us in advance.
  • Any parking, toll or congestion charges will be added to the invoice.
  • Set-up and collection times are agreed in advance. Charges may apply for waiting time or late collection caused by the Hirer or the venue.

5.Venue & power

  • The Hirer is responsible for getting permission from the venue for our Equipment and set-up.
  • Where Equipment needs power, a safe, suitable power supply must be available near the set-up area.
  • We are not responsible if the venue refuses access or set-up.

6.Care of Equipment & damage

  • All Equipment remains our property at all times.
  • The Hirer is responsible for the Equipment from delivery until collection.
  • Equipment must not be moved, altered or dismantled by anyone other than our team.
  • The Hirer will pay for any loss, theft or damage beyond normal wear and tear, at the cost of repair or replacement.
  • We may take a refundable damage deposit on certain items, which will be stated in your quote.

7.LED letters & numbers

  • For indoor use unless agreed otherwise in writing.
  • Must not be climbed on, leaned on, sat on or moved once set up.
  • Must be kept away from liquids.

8.360 photobooth

  • Operated by our attendant for the agreed hours.
  • Guests use the photobooth at their own risk and must follow the attendant’s instructions.
  • We may stop use at any time if it is being used unsafely.
  • Photos and videos will be delivered via a digital download link within 7 days of the event.
  • We may use images and videos for marketing unless the Hirer opts out in writing before the event.
  • All images are handled in line with UK data protection law and our Privacy Policy.

9.Soft play & inflatables

  • Continuous adult supervision is required at all times while the equipment is in use.
  • The Hirer must follow the safety rules supplied, including: no shoes, food, drink, sharp objects, face paint, silly string, glitter or confetti on or near the equipment; age, height and user-number limits must be followed.
  • Any cleaning required due to glitter, confetti or other prohibited items being used will be charged to the Hirer.
  • Equipment will not be used outdoors in winds above the manufacturer’s limit or in rain. Our decision on whether it is safe to set up or continue use due to the weather is final.
  • All equipment is safety tested and inspected, and we hold public liability insurance.
  • The Hirer is responsible for supervising users and for their conduct.

10.Cancellations by the Hirer

  • Cancellations must be made in writing to moj@firstclasshireandevents.com.
  • All retainers are non-refundable in all circumstances, as they secure the date and we turn away other bookings.
  • If you cancel at least 1 month before the event, we may, at our discretion and subject to availability, move your retainer to a new date instead (see Date changes).
  • If you cancel less than 1 month before the event, the retainer is kept and no date change can be offered.

11.Date changes

  • Requests to change the date must be made in writing at least 1 month before the original event date.
  • Date changes are at our discretion and subject to availability. The retainer can be transferred once to a new date within 12 months of the original date.
  • Any price difference for the new date will be applied.
  • If no suitable alternative date can be agreed, the booking is treated as cancelled and the retainer is kept.

12.Cancellations by us

  • In the unlikely event we have to cancel, we will refund all money paid to us in full.
  • Our liability is limited to the amount paid.

13.Weather & events outside our control

  • We are not liable for failing to provide our services due to events outside our reasonable control, including extreme weather, illness, road closures, vehicle breakdown or government restrictions.
  • Weather-related decisions on outdoor soft play and inflatables are made for safety reasons and are final.

14.Liability

  • We are not liable for any indirect or consequential loss.
  • Our total liability is limited to the value of the booking.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, or anything else that cannot be limited under UK law.
  • The Hirer is responsible for any injury, loss or damage caused by misuse of the Equipment or lack of supervision.

15.Photography & social media

  • We may photograph our set-ups for our website and social media unless the Hirer asks us not to in writing.

17.Privacy

  • How we use your personal information is explained in our Privacy Policy.

18.Governing law

  • These terms are governed by the laws of England and Wales.
